Job Description

We are seeking a highly organized, proactive, and personable Office Manager to serve as the heart and soul of our Sofia office. This role is ideal for someone who thrives in a multifaceted environment, enjoys crafting a welcoming and efficient workspace, and takes pride in being the go-to person for all things office-related. The Office Manager will play a key role in supporting employee engagement, maintaining operational perfection, and encouraging a positive workplace culture.   

   

Work Schedule & Environment

  • Full-time, on-site presence required: Monday to Friday, 9:00 AM – 6:00 PM.   
  • Option for 1 remote workday per week, subject to prior approval.   
  • Acts as the primary point of contact for all office-related matters, including supplies, deliveries, facilities, and vendor coordination. 

Key Responsibilities   

   

  1. Office Operations & Maintenance   
  • Be responsible for daily office operations, ensuring a clean, organized, and functional workspace.   
  • Maintain relationships with external vendors (cleaning, maintenance, supplies).   
  • Conduct weekly sweeps to identify and resolve issues (e.g., broken chairs, desks).   
  • Coordinate with Corporate IT for cable management and workspace decluttering.   
  • Maintain stock of office essentials: fresh fruits, snacks, milk, soft drinks, etc.   
  • Ensure coffee machines, water coolers, and other shared appliances are serviced regularly.   

   

  1. Hybrid Work & Space Coordination   
  • Coordinate and supervise the hybrid work policy and OfficeR&D platform.   
  • Manage seating arrangements across the 3rd and 5th floors, ensuring efficient team placement and desk utilization.   

   

  1. Meetings, Workshops & Events   
  • Coordinate and support internal workshops, team meetings, and visitor logistics.   
  • Coordinate with external agencies for larger gatherings and off-site events.   
  • Lead planning and execution of company-wide events such as Town Halls, Summer Parties, and Christmas Celebrations. 

  1. Employee Support & Engagement   
  • Provide day-to-day support to employees, ensuring their workspace needs are met.   
  • Liaise with IT to resolve issues related to company assets and equipment.   
  • Champion a clean desk policy and promote a cozy, welcoming office atmosphere.   
  • Support the Managing Director with social and engagement initiatives.   

   

  1. Company Apartment & Transportation   
  • Lead bookings and logistics for internal and external transportation needs.   
  • Be responsible for the company apartment:   

  - Welcome and assist visitors, including weekend coverage when needed.   

  - Maintain cleanliness, stock supplies, and coordinate with the property owner.   

  - Be available for ad-hoc needs and on-call support.   

   

  1. Communication Liaison & Project Support (Optional)   
  • Act as a liaison between members of the leadership team when required.   
  • Relay urgent messages, coordinate attendance, and assist with scheduling.   
  • Support special projects by organizing resources, supervising progress, and ensuring deadlines are met.   

   

Ideal Candidate Profile

  • Experience in office management, facilities coordination, or administrative support.

  • Strong organizational and multitasking skills.   
  • Excellent communication and interpersonal abilities.   
  • Proactive and diligent approach.   
  • Comfortable working independently and taking ownership of responsibilities.
